Executive Management Support Officer / Personal Assistant

Job description

An exciting opportunity has arisen to join the Public Health and Communities Directorate within Barnsley Council as an Executive Management Support Officer/Personal Assistant. You will provide a comprehensive and efficient Business Support service at an Executive PA level predominantly to the Executive Director, but also as part of the wider Public Health and Communities Directorate working closely with two Service Directors and their respective Management Support Officers. In addition, you will work with other Executive Management Support Officers who support their respective Executive Directors within the Council.
The Public Health and Communities directorate works hard to improve the health and wellbeing of the Barnsley population. It has a key role in tackling health inequalities and improving and protecting health in Barnsley across the lifespan. Public Health has a wide range of services including, health protection, healthcare public health, health improvement, children and young people, public health nursing service and regulatory services. The communities service comprises of 4 teams; stronger communities, healthier communities, safer communities and libraries.
The role of the Executive Management Support Officer is both interesting and variable and requires someone with strong time-management and organisational skills to enable them to fulfil their role effectively in the context of a highly-pressurised working environment. You will need to be able to work on your own initiative taking ownership of specific issues within the service, co-ordinating and monitoring milestones through to resolution. _
The role involves a wide range of PA duties – email monitoring; managing and organising diaries; scheduling appointments, meetings and events; booking travel and accommodation; arranging and servicing meetings and taking responsibility for following up actions or projects arising from these meetings. You will act as the first point of contact between the Executive Director and internal/external stakeholders via phone calls and other means of communication, so a professional approach and strong communication skills are key. The role involves dealing with politically and commercially sensitive information and needs to be handled both with discretion and confidentiality.
_ You will be flexible in your approach in order to ensure the overall service objectives are achieved, be an excellent team player and willing to make a solid contribution to the smooth running of the service.

 You will hold a NVQ level 3 or equivalent level qualification in a business-related subject
